Scenario

We as consultants, propose our university to spend £1,000,000 in video conferencing and wen based meetings.

Objective

Detail an alternative to face to face meetings using alternative web based methods. This is a proposal to use video conferencing as a technique to communicate and hold meetings between the five offices of the company. This will give an opportunity to save time and cost of meetings.

Web conferencing will allow company to continue with their business as usual. Employees will be more efficient by accomplishing meetings by phone or via internet instead of traveling to conduct business. Web based conferencing uses a combination of voice communication and a network of computers to interact with different, multiple users at a fraction of the cost it would take to see ten clients in ten different places. (Azuma) Web conferencing can be as small as emailing your teacher to get an extension on a paper you are writing, to having a mass presentation to an audience such as a company training session or conducting a sales pitch.

Video conferencing accommodates those who feel as if "face-to-face" meetings are a necessity. This media has the capacity to communicate in ways that text can never match. While you can't be there to shake their hand at the end, much can be read into the facial expressions, body language and mood of the conference to say whether it was successful or not. This is another option in our technological world to replace the usual, standard business trip.

Although there is some business travel that is unavoidable, web conferencing takes some of the stress out of your life. Do understand though that some meetings are better left face-to-face where the participants can confront one another or, if applicable, console one another.
