Introduction

This report will review the payroll system in order to improve customer services. This proposal will be presented to the Senior Managers for consideration. The proposal will discuss the effect on the team, future performance and the resources required to implement the plan.

Change is a fundamental component of continuous quality improvement. Any Improvement involves introducing changes and measuring its impact. With the Payroll / Human Resources has been recognition of the need for payroll system to support the delivery of quality customer services. Quality means meeting customer needs first time and every time.

The major area identified in the course of this review is potential efficiency gains could be realised. The change will reduce the handling of manual documentation in areas of routine in Payroll / Human Resources office. A significant amount of double inputting into the payroll system takes place between personnel and payroll department. The monthly staff attendance are completed and signed of by the section managers then passed to the department personnel section who verify the information as being correct the enter the absence information into personnel records system. The system generates reports for payroll in which are then entered into the payroll system. In this case information has been entered three times, by the manager, personnel and payroll department. Not only are there issues concerning the double handling of data , but also having to input the same information into two separate system carries more risk of errors occurring. By introducing new payroll system will improve customer services. In payroll there are external and external customers.

Internal Customers are: Employees, Auditing, finance department and Human Resources. Employees expect to be paid on time received clear and concise payslips. The payroll office will be expected to produce accurate and timely reports of payroll expenditure. As already identified the main client of payroll is employees. After all it is for the employees that the department primarily exists.

External Customers are: HM Revenue & Customs (HMRC), Local Authority, Department for Work and Pension and child Support Agency. Payroll will be requiring producing returns as required during the year and at the end of tax year.

Proposal for introducing the new Payroll System

This project will focus on replacing the company previous Payroll and Human Resources (HR) system. The new system replaces two independent payrolls and HR with Trent the aim of the new solution is to improve the productivity of the company personnel through the provision of state of art application that is easy to use. The company need to replace the old system as the system unable to cope with the increasing number of users. It is too slow to enable staff to process vital payroll information. The aim is to replace the two systems with a single solution and to have one server running one application that is capable of meeting company's need for the next ten years.
