When books are received, they are accessioned, a number that is added to each book and the entry on the current list of outstanding orders. At the same time, the minimum necessary additions and corrections (eg, price) are made at the entrance, and new or corrected data are added to the tape (the serial number is used as an "offset" medium). For books submitted, there will, of course, there are no entries in the order file, so that the details should be drilled from scratch.

From the edited tape impressions occur:

• a register of membership, organized by accession number and kept as a permanent record folders;

• a weekly list of books received during the previous four weeks ("in process" file)

• a monthly list of books received for each fund, accounting and distribution departments, and

• when necessary, make lists of books.

It is possible that this list weekly accessions of the Library (each issue of which costs about £ 14 to produce) is replaced by a selective or total print procurement, with limited circulation. Accounting can be done automatically, so that each department can be informed of how much it has spent its allocation in the last month and how much remains.
