Q1) In your work, you may be asked to use your communication skills for a number of specific tasks. List five (5) ways to communicate with colleagues.

In the modern world, technology has revolutionized the methods of communication. At one time the communication was limited to face to face talking or written papers in the form of letters, memos or posts. However thanks to Paul Schilling and Alexander Graham Bell the telegraph firstly then the telephone, have reduced the delay and the confusion which might arise from indirect communication through letters, chits or other written forms. Then Babbage's difference engine morphed into the modern day computer which was further facilitated, with the advent of the internet and now the modern day smart mobile phones and PDA's. Now with instant emails, live messengers, free phone calls, text messages and other devices, communication is no longer a problem.

The five ways an office person might be able to communicate with his fellow colleagues include:

1) Mobile Phones: The most common way of communication with any person round the globe, is calling on their mobile phones. The biggest advantage of cell phones is that the individual keeps them on his person almost 24/7. So the person is able to get in touch with his colleague at any given instance and is able to initiate a direct dialogue even though they are not present in the same place. This helps avoid any misunderstandings which might arise as both the speakers and listeners are able to hear the dialogue and the tone of delivery.

2) Emails: The advent of technology brought with itself the blessing of the emails. Any person is able to instantly deliver written messages to one or all the employees in the office, virtually simultaneously. This is exceptionally handy when delivering mass memorandums or other written materials. With the incorporation of auto spell check and thesaurus, the margins of error also dwindles down. Emails provide a convenient alternative to the traditional paper memos or documents.

3) Paper Memorandums: Even though the computer has become a sort of necessity of every office like the table, chair, pen and paper. Sometimes, electronic communication just doesn't do the trick. The paper documents even now hold an authenticity and authority which electronic communications seem to lack. Paper documents which have been personally signed by a person carry with themselves a sort of sense of importance as it signifies that the person went through a considerable effort of putting their opinion, order or communication in written form, signed it and addressed it to the particular individual. It adds a sort of personal note to it.

4) Official Notice board: Any notice boards or discussion boards which have been put up in the office can serve as a platform of communication between the people.
