Introduction

The meetings are necessary, even inevitable, in any organization. But a person who has not complained of many meetings in which he has participated. Actually there are very few productive meetings. This is due to missing essential ingredients in design or implementation of meetings (Miller, 2000). This assignment will be designing an effective meeting for a film production house who has approached our company with a proposal for a big-budget animation movie using new technology. Our company has invited the production house representatives for a meeting to discuss the proposal.

Steps for Effective Meeting Design

Following are the steps for designing an effective meeting:

Need: is it really Necessary?

The meetings are very expensive. It saves them for when they are really compelling. Multiply the cost of time for each participant by the number of participants. Add up what the local cost of electricity, refreshments and materials. Consider the opportunity cost. Evaluate all of these costs against the benefits achieved by the meeting. If the cost justified by the benefits it offers, make the meeting.



Objectives: Has a clear purpose?

Productive meetings have a clear purpose, that all participants know and share. All objectives need to be known precisely in order to be achieved with the meeting. Consequently, they are also aware of its nature: exchange and exchange information and opinions, discuss, make decisions, and support decisions, among other reasons(Frank, 1990)

. At this step of the effective meeting design, a purpose of the meeting of using new technology in a movie will be clearly stated to all the members of the meeting.

Design: is well designed to guide the process and dealing with content properly?
