Introduction

Facilities management is basically referred to as the activities of managing and coordinating infrastructure, space, people and organization. If we discuss this field in the terms of a business, then the management of facilities generally involves the facilities management of schools, offices, convention centres, arenas, hospitals, shopping arenas, etc. The basic role of people involved in facilities management is to manage and coordinate the space where business is to be conducted effectively. Facilities management has been growing over the past few years as one of the most important aspects of a business (Gustin, 2003, pp. 12). Facilities management has now emerged as a scientific discipline which is anchoring its way in different organizations.

Role as a Facilities Manager

Basically, the role of a facilities manager is to plan, design and manage equipments, buildings, grounds and supplies within an organization. My role as the facilities manager of the educational institute is similar to other organizations but there a few differences in my roles and responsibilities. My role is to manage the facilities between two organizations which include the college building along with the university it is affiliated to. My responsibilities include looking at diverse facilities and managing them efficiently. It is very important to manage all the facilities effectively to continue the business and education processes at the college campus in accordance with the university (Shah, 2007, pp. 25).

The facilities that are included in my responsibilities are cleaning services, porterage and janitorial support, security within the building and around the building, room allocations and space planning, front office and reception management and car parking management. My role is to put out tenders, managing and supervising workers, directing and planning important services, planning best allocation and utilization if spaces; and responding efficiently to urgent issues and emergencies. My responsibilities also include working on any sort of deficiencies that exist in the management of diversified facilities. My prominent role at my workplace is to coordinate and supervise all the individuals who perform all the jobs.

Relationship between Business Needs and Space Planning

It is very important to identify the business need while considering the different methods of managing facilities for that particular organization. Appropriate measures should be taken to manage facilities after identifying the primary needs of facility management. The activity of identifying the facility needs and then taking the decision of arranging and coordinating those needs is very important. It helps reduce the cost involved in facilities management and allows the facility manager to work effectively and efficiently.

The first need is of porterage and janitorial service which are outsourced when needed. There is no need of porters and janitors regularly for college campus, so these services are outsourced when a need occurs to use them. Cleaning is very important in every organization so cleaners are hired and made available within the building to make sure that there is no issue in the cleanliness of the building.
