Stakeholders maintain a broad variety of roles in a project; although, regardless of their roles and responsibilities, all stakeholders convey a significant allowance of weight on the last conclusion of a project. Because these individuals have a specific business interest in the project's deliverables (one or all), it is vital that task managers ensure that they are broadcasting competently with stakeholders to ensure that one-by-one needs are satisfactorily met.(Trist, 2001 19)

The differing positions held by stakeholders (from sponsor to group mates to the senior management) will often conceive differences between their one-by-one needs, priorities, and interests. It is not uncommon for stakeholders to sustain opposing points of outlook over what the task should be seeking to accomplish.(Sitter, 1997, 497) For this reason, it is essential that task managers recognise stakeholders and their respective needs as early as possible in the initiation phase.

After recognising the task stakeholders, directly engage these persons exactly in the process of characterising the project's scope and parameters. Also, task managers and other stakeholders should brainstorm simultaneously to evolve criteria for success along with units of measurement that will permit you to pathway your progress. Not only will this assist you work out each stakeholder's one-by-one needs and personal preferences. Discuss their one-by-one expectations and one time you've gotten these "goals" down theoretically, you can more competently broadcast with them, one time you've came by more data about the task, on the feasibility of these expectations.

As task issues arise through the course of its life cycle, you will require to address and resolve these issues with your young individual stakeholders; thus, it is essential to work out a procedure of connection and a connection schedule in alignment to ensure that your stakeholders are on the same sheet at all times considering task status.(Hackman, 2005, 309) Providing stakeholders unquestionable and revised data about the status of your task will assist to organise their expectations by displaying the factual progress of the task and any solutions to issues you may have came across and determined to report to stakeholders.(Bessant, 2007, 7)

 

Methods

The first step to organising stakeholder expectations is to recognise the distinct stakeholders.  On a general scale, there might be approximately five stakeholder groups, namely,

Project Sponsor:  This is represented by the peak grade administration that initiates and owns the task and supply funds needed for executing the distinct task activities.  The sponsor also provides general, high grade recommendations from time to time.

Project Manager:  The person responsible for executing the task and gathering its end goals and objectives.

Project Team Members:  This group forms the centre or major workforce of the project. 

Performing Organization: This is the association responsible for chartering or using the task team.

Project Customer / Client:  Comprising of one or more customers, this assembly of persons or organizations are those that advantage from or are the end users of the project.
