Recently, the management of the firm has been receiving constant complaints with regards to lack of motivation in employees that has resulted in frequent late-sittings, under-performance and thus low productivity. One of the main reasons may be the way a job is designed can also affect a worker's level of activity. It is a fact that oversimplified jobs can lead to apathy and reduced drive and motivation. This indifference can often be reversed through increased complexity and autonomy.

This is to inform all the concerned staff that the management has taken a serious notice of the prevailing situation within the firm. To address the motivation dilemma, we have taken some formidable steps that will surely help us win back the trust of our valued staff members, which include:

Compensation: Providing formal, fair, and accurate performance evaluations and merit systems, paying attention to shift differentials and overtime pay. Clarify the link between achievements and rewards.

Benefits: Providing benefits such as paid holidays, vacation and sick leave, pension and retirement plans, health care coverage, and life insurance to all the employees. Consideration may also be given to providing tuition reimbursement, paid parking, employee assistance and well-being programs, and child care.

Communications: Providing our employees a chance to express their opinions and concerns by forming employee committees, holding regular meetings with management, conducting attitude surveys, instituting employee recognition practices, publishing newsletters, and putting up bulletin boards. Let employees know when management has considered or implemented employee suggestions. When people work hard to complete a project, make sure their accomplishments are acknowledged.

Respect: Make sure guidelines for staff behavior are reasonable and appropriate. Staff participation in the formulation of workplace rules can reduce management's efforts to reinforce compliance with unpopular regulations. When making a policy ruling, explain its purpose and enforce it fairly. Be tactful with discipline; reprimand should be private rather than public and should address the specific fault rather than the person's character. When they are forced to downsize, companies that provide outplacement services, training, and career counseling have a better chance of retaining the loyalty and trust of survivors.

Conditions, facilities, and services: Provide employees with safe, clean working conditions and reasonable workloads. Work underload and overload can be equally damaging to morale.
