Introduction

Communication is an essential leadership skill that all administrators must master in order to lead organizations. Communication is a process that involves encoding, message transmittal, decoding based on knowledge, experience, values, and prior observations to decipher meaning, and feedback. Communication is often represented symbolically because of the complexity involved in adequately addressing all components of communication.

Importance of Effective Communication

Effective communication can be defined as relevant information, which is conveyed to the concern people in a proper style. It should be visible and clearly understood by the concern people at the right time. Communication is a fundamental process at the workplace that plays a role as a key element to motivate employees. Communication should be a two-way process, when employee feels that they are involved in the decision making of the organization. They should try to be positive and have devotion towards the firm (Griffin, 2005).

Models of Effective Communication

There are four models of effective communication, which will play, an important role in building up the organizational capacity. It is important for every organization to follow proper models of communication in order to create a good relationship among the employees. The three models of communication will be described in the following paragraphs which are:

1.Shannon and Weaver Model of Communication

It is a model in which the information moves through a medium from the sender to the receiver. The information is then received by the concerned person and then feedback is provided to the sender. It is typically used during face to face communication between two or more people.

2.Linear Communication Model

The linear communication model refers to a process when information comes straight from the source to the receiver or also from the receiver to the source in order to complete the communication process.

3.Interactional Model of Communication

In the interactional communication model, there is the sender, message, coding and the receiver. The sender needs to have good communication skills, knowledge and should understand the culture around which he is sending his message. The content, elements and structure of the message must be understood by the sender in the coding process by the receiver.

4.Berlo's Model of Communication

This model of communication was developed by the educator known as Berlo. In this model of communication, the information comes from the source, through a channel to the receivers who then sends the relevant feedback (Miller, 2005).

Factors that affect communication

There are various factors that affect communication in the organization. The first factor is the level of interaction which is there in the organization. It includes interaction between a senior and junior employee, between subordinate employees, and, senior employees. Some organizations require a high level of interaction among the employees which necessities a need of proper communication channel.
