Introduction

The book I am recommending in the training program is “Business Communication” by Thomas L Means; Dianne S Rankin. The book is based on business communication and explores different techniques of communication as well as importance of communication in business organizations. Communication serves four major functions within a group or organization, control, motivation, emotional expression and information. In addition, the process of communication is used in daily life. Whether a person is communicating with his family, friends, or a stranger effective communication is necessary. Because, communication is a process through which a person transfers his message to another person. Now the process of communication is effective when the message sent by the sender is received and properly understood by the receiver (Rogers, Allbritton, 1995). Otherwise, it would be ineffective communication. Communication acts to control individual behavior in various ways. The organization has guidelines hierarchies of authority and forms to which employees should be addressed.

Discussion

The book discusses two main channels of communication that were observed by me at my workplace; internal communication channel and external communication channel. Internal communication is more than newsletters and email. There is wide range of sources through which the process of internal communication is carried out within the workplace. External communication is more than just a website or advertisements. There is a wide range of sources through which organizations conduct their process of external communication.

There are several roles of listening, speaking and interpersonal communication internally and externally in the workplace. Nevertheless, all these words represent a process to carry on an effective communication procedure. It is said that for constructing an effective and influential message there is the strong need for the information. For example, if a person is working in a call centre (a source selected by organizations nowadays to carry out their external communication process); it is the responsibility of the agent to satisfy customer in each and every issue (Forman, Markus, 2005). Whether the customer is asking for information or he has called in for troubleshooting the agent will be able to respond to the customer effectively if he listens properly to the question of the customer, otherwise, there would be ineffective communication. Similarly speaking plays a vital role in communicating a message properly; it is crucial to select proper form of words in order to communicate the message whether it is an internal or external channel of communication.

Interpersonal communication occurs between two people who are physically close. Each of the people produce messages that are a response to messages that have been developed by the other or others involved in the conversation. Humans are included in a world of communication, so that for a better study was divided into three: interpersonal communication that takes place between two people, group communication takes place between three or more people and social communication using technical elements and can reach millions of people (Forman, Markus, 2005).
